Candidate Interview Guide

As an Operations Manager on our revenue cycle management team (RCM), you will use data-driven insights to drive strategic change, partnering closely with Operations leadership to eliminate workflow bottlenecks, improve efficiencies, and support our providers with a best-in-class experience. You will interact regularly with cross-functional partners—including Product / Engineering, Business Intelligence, CX Strategy, and Payer Partnerships—to ensure our workflows and technology roadmaps set Alma up for success at scale. The ideal candidate has a strong bias towards action, excels at motivating and coaching large teams, prioritizes a winning team culture, and thrives in ambiguous situations. This is a full time, fully remote position on our team. Occasional travel may be required for company or team events/meetings.

What you’ll do:

  • Process Optimization & Scale: Identify operational bottlenecks and trends. Use data and analytics to prioritize work, design process changes, execute change management, and optimize existing workflows for continued growth and scalability.
  • Cross-Functional Collaboration: Collaborate with Product & Engineering, Business Intelligence, CX Strategy, and other Core Ops teams to analyze and measure the operational impact of tools, processes, and product launches on Core Ops KPIs. Own, execute, and report on identified cross-functional escalation projects.
  • Metrics Ownership, Data Analytics & Reporting: Analyze daily, weekly, and monthly program and metrics data to track operational efficiency, reporting outcomes and key insights regularly to leadership and business stakeholders.
  • Strategic Planning & Roadmap Alignment: Strategize with Operations leadership to marry staffing plans with technology roadmaps to streamline the insurance process, and support forecasting and resource planning to ensure the team is appropriately resourced.
  • Team Leadership & Management: Lead, coach, and manage a core operations team (including 2+ direct reports/Team Leads and a subsequent remote frontline workforce of agents up to 20 employees); unblock the team in day-to-day escalations and foster a winning team culture.

What success looks like in this role:

  • Maintain key service level agreements (SLAs) and support ticket resolution metrics within targeted operational thresholds.
  • Successfully complete core workflow optimization projects within target timeframes and resource constraints.
  • Achieve high internal partner and stakeholder satisfaction scores across cross-functional operations.
  • Optimize operational efficiency metrics by streamlining manual steps across primary workflows.

What you’ll bring:

  • 3-5 years of professional work experience in an Operations role, ideally within a startup environment, healthcare implementation, healthcare consulting, or a revenue cycle management role.
  • 2-4 years of people management experience, managing teams comprised of non-exempt and exempt direct reports. You have experience navigating the full spectrum of performance management — from setting clear expectations and delivering ongoing feedback to supporting employees through formal improvement processes and difficult conversations.
  • Highly resourceful and efficient at data-driven decision-making, operational process design, improvements, and execution.
  • AI-forward: Has experience leveraging AI to drive speed to results.
  • Relentlessly organized with meticulous attention to detail and exceptional project management skills; ability to balance attention to detail with swift execution.
  • A flexible team player who can roll up their sleeves to support the team creatively and scrappily while managing other projects through ruthless prioritization.
  • Exceptional communication skills and a customer-centric attitude. Able to translate and communicate accurately and effectively with both internal and external stakeholders.
  • Passionate about mental health, our mission at Alma, and Diversity, Equity & Inclusion (DE&I).

Benefits:

We believe strongly in an individual’s transparency and strong communication to enable the most effective and efficient path to team success.

If you’re interested in building a new category of products that will help improve the lives of people globally and you love working in a fast-paced, cross-functional, collaborative, inspiring environment, please continue reading!

The Opportunity:

We are seeking a Revenue Operations Manager to drive the day-to-day operational engine of Pendulum’s Revenue Operations team, ensuring every channel runs with precision and accountability as Pendulum scales. Reporting directly to the Sr. Director, Revenue Operations, this person will own the execution and operational infrastructure across Amazon, third-party marketplaces, retail, MAP compliance, and our growing HCP (Healthcare Practitioner) sales channel. You will drive cross-functional alignment, support building scalable processes, and ensure that each channel operates with precision and accountability as Pendulum scales. This is a high-ownership role for someone who is equally strategic and hands-on - comfortable designing systems and getting into the details to make them work.

What You’ll Do

Amazon & Marketplace Operations

  • Own day-to-day Amazon channel operations including catalog integrity, listing maintenance, content updates, and case management, ensuring a best-in-class brand presence on the platform.

  • Lead promotional planning and execution across Amazon and third-party marketplaces: manage deal submissions, coupon activations, Lightning Deal requests, and post-promotion reporting.

  • Monitor inventory health, partner with Supply Chain on demand planning inputs, and proactively flag stockout or overstock risks to leadership.

  • Drive the operational launch of new marketplace channels, building onboarding checklists, managing item setup, and configuring platform portals from initiation through go-live.

  • Own product listing quality across third-party marketplace platforms, ensuring content accuracy, pricing alignment, and brand consistency at scale.

  • Identify and implement continuous improvement opportunities across listings and fulfillment workflows to drive channel efficiency.

MAP Compliance & Unauthorized Reseller Enforcement

  • Own MAP compliance and unauthorized reseller enforcement programs across all online channels, ensuring consistent price integrity and brand protection.

  • Manage Trackstreet and internal monitoring tools to proactively identify violations across platforms, maintain enforcement logs, and report on compliance trends.

  • Lead seller outreach and remediation efforts, coordinating directly with unauthorized sellers and escalating to legal or platform partners as needed.

  • Develop and maintain enforcement SOPs and escalation frameworks to ensure a consistent, scalable approach to MAP and reseller issues as Pendulum grows.

  • Partner with the Sr. Director, Revenue Operations and legal team on policy updates, platform enforcement actions, and strategic decisions related to brand protection.

Retail Operations & Partner Execution

  • Execute the full operational workflow for retail partner onboarding, including completing new item setup forms and managing retailer vendor portals.

  • Process and track purchase orders across retail accounts, ensuring accurate and timely fulfillment in alignment with retailer requirements.

  • Maintain up-to-date records across retailer portals, item catalogs, and compliance documentation for current and future retail partners.

  • Support cross-functional coordination between Sales, Operations, Marketing, and Supply Chain on retail execution needs and timelines, flagging issues to the Sr. Director, Revenue Operations as they arise.

  • Serve as a day-to-day operational point of contact for routine retailer and wholesale partner inquiries, coordinating responses internally and escalating as needed.

  • Follow and help maintain SOPs and playbooks for retail operations, flagging opportunities to improve or update processes as new partners are onboarded.

HCP Sales Operational Support

  • Partner with the Sr. Director, Revenue Operations and HCP Sales leadership to build the operational infrastructure required to support and scale Pendulum’s Healthcare Practitioner channel.

  • Design and implement systems, workflows, and tools that enable the HCP sales team to operate efficiently — including order management processes, partner onboarding workflows, and sales support documentation.

  • Coordinate with Finance, Supply Chain, and Marketing to ensure HCP-specific operational needs (pricing, fulfillment, materials) are met and scalable.

  • Identify operational gaps and bottlenecks within the HCP channel and develop solutions that enable the sales team to focus on growth rather than process friction.

  • Build and maintain SOPs and enablement resources that support a consistent and professional experience for HCP partners.

Who We’re Looking For

Required

  • 2–4 years of experience in revenue operations, e-commerce operations, marketplace management, or a related multi-channel operations function.

  • Demonstrated experience with Amazon Seller Central or Vendor Central, including catalog management, advertising programs, and performance reporting.

  • Strong analytical skills — proficiency in Excel/Google Sheets required; experience with BI tools (Tableau, Databricks, or similar) strongly preferred.

  • Proven ability to build and manage cross-functional workflows, SOPs, and operational infrastructure in a fast-scaling environment.

  • Excellent project management skills with the ability to manage multiple complex workstreams simultaneously and drive them to completion.

  • Strong written and verbal communication skills; comfortable coordinating across Finance, Marketing, Supply Chain, Sales, and external partners.

Preferred

  • Familiarity with MAP enforcement tools (e.g., Trackstreet) and unauthorized seller programs.

  • Familiarity with EDI systems, vendor portals, and retail partner onboarding workflows.

  • Experience supporting or building operational infrastructure for a B2B or HCP/medical sales channel.

  • Experience in consumer health, wellness, or CPG industries.

  • Exposure to cold-chain or refrigerated product logistics.

What Success Looks Like

In the first year, success means that:

  • Amazon, marketplace, and retail operations run with high reliability — minimal compliance issues, clean catalogs, and consistent performance reporting delivered on time.

  • The HCP channel has a clear operational foundation: defined workflows, reporting, and support infrastructure that allows the sales team to scale without operational friction.

  • MAP compliance is proactive, not reactive — violations are caught early, enforcement is consistent, and brand integrity is protected across channels.

  • New marketplace and retail partners are onboarded smoothly, with cross-functional teams aligned and execution hitting milestones on schedule.

  • The Sr. Director, Revenue Operations can rely on this role to own execution across channels, surface issues proactively, and bring solutions — not just problems.

  • You are recognized across Finance, Supply Chain, Sales, and Marketing as a high-accountability, operationally excellent partner.

Salary & Benefits

  • $95,000-$120,000
  • Medical, Dental, and Vision
  • Commuter Benefits
  • Life & STD Insurance
  • Company match on 401 (k)
  • Flexible Time Off (FTO)
  • Equity

We may use artificial intelligence (AI) tools to support parts of the hiring process, such as reviewing applications, analyzing resumes, or assessing responses and identifying potential inconsistencies or verification signals in application materials based on available information. These tools assist our recruitment team but do not replace human judgment. Final hiring decisions are ultimately made by humans. If you would like more information about how your data is processed, please contact us.

Operations Remote Executive Assistant to Founder - Startup Support at FreedUp

Manages founder's calendar, email, meetings, and administrative tasks while supporting fundraising and investor relationship coordination for an early-stage AI startup.

Mid Remote Posted about 17 hours ago RemoteFirstJobs Product
What this role involves

FreedUp is seeking a proactive Executive Assistant to support the Founder of Orderly AI, an early-stage AI startup currently raising its seed round. The founder is juggling fundraising, investor and VC networking, product marketing, and customer-facing work — and needs everything that isn’t fundraising, networking, or selling taken off his plate.

This role starts on lower-agency, clearly-scoped tasks (calendar management, follow-ups, meeting prep, drafted-not-sent emails) with the expectation that trust and scope grow quickly as the assistant proves reliable. The founder has never worked with an assistant before, so this person should be comfortable building context fast, working independently, and earning delegation of higher-agency tasks over time rather than waiting to be handed them.

This is a full-time, remote position that requires strong written communication, organizational excellence, and accountability.

Location: Fully Remote

Job Type: Full-Time

Salary: $1,000 - $1,700 per month (based on experience)

  • 3+ years of experience as an Executive Assistant, Executive Coordinator, or similar role supporting a founder or senior executive — startup experience is a strong plus.
  • Excellent written English; comfortable drafting emails and messages in someone else’s voice.
  • Highly organized, with the ability to track a large volume of ongoing conversations, follow-ups, and introductions without anything slipping.
  • Comfortable working closely with a first-time founder who is still building trust in delegation — patient, clear, and consistent rather than needing everything spelled out twice.
  • Tech-savvy and comfortable with Google Workspace, Slack, and similar tools.

Key Responsibilities

  • Calendar Management: Own scheduling across a high volume of virtual and in-person meetings — VC meetings, networking, demos, and customer onboarding calls.

  • Follow-Up & Relationship Tracking: Keep track of the “endless web of conversations” — who’s owed a follow-up, who needs an introduction, and make sure nothing is dropped.

  • Meeting Prep: Prepare the founder for VC meetings, customer calls, and networking conversations.

  • Email Support: Draft emails and messages on the founder’s behalf based on quick verbal direction, with a review-before-send step on anything sensitive (e.g., investor communications).

  • Investor Updates: Support drafting and coordinating monthly investor updates.

  • Light Personal/Business Admin: Take on ad hoc admin and logistics as trust builds — this may expand over time as the founder gets comfortable delegating.

  • International experience

  • Opportunity to work remotely from anywhere

  • Supportive and collaborative team environment

  • Learning and development opportunities

  • Potential Performance Bonuses

  • PTO

  • HMO after 3 months

  • AI-forward: Has experience leveraging AI to drive speed to results.
  • Relentlessly organized with meticulous attention to detail and exceptional project management skills; ability to balance attention to detail with swift execution.

Operations IT Ops Engineer at Vercel

Provides day-to-day IT support for office staff, manages endpoint systems and access controls, and uses AI tools to automate tasks and resolve technical issues.

Mid Onsite Posted 3 days ago RemoteFirstJobs Product
What this role involves

About Vercel:

Vercel is the agentic infrastructure company. We free people and agents to ship what’s next.

For more than a decade, Vercel has shaped how the web is built. As the team behind Next.js, v0, and AI SDK, we create products that help builders move from idea to production with speed, security, and exceptional developer experience.

Now, software is entering a new era, and the next generation of products will not just be used by people. They will be built, extended, and operated by agents.

We are building the platform for that future, trusted by companies like OpenAI, PayPal, Ramp, Supreme, and millions of developers worldwide. Whether you’re building our products, supporting our customers, growing our community, or shaping our story, you’ll help define what comes next.

About the Role:

Vercel is growing fast, and so is the demand on our IT team. We’re looking for an IT Operations Engineer to be the backbone of day-to-day technical support for our New York City office, someone who takes real ownership of the employee experience and keeps our team running at full speed.

In this role, you’ll be the go-to person for in-office IT support: resolving hardware and software issues and partnering with teams across the company to make sure everyone has what they need to do their best work. You’ll manage the tools and systems Vercel’s employees rely on every day, from endpoint management and AV to onboarding workflows and access controls.

AI fluency is a core expectation at Vercel, not a bonus. We expect you to actively use AI tools to work faster, automate repetitive tasks, and solve problems more effectively. Whether that’s writing scripts, drafting documentation, triaging requests, or researching solutions, we want someone who reaches for AI as a natural part of how they work.

Beyond the helpdesk, you’ll have genuine opportunities to contribute to larger IT projects and initiatives. This is a team that operates with a high bar and moves quickly, and we’re looking for someone who matches that energy: proactive, detail-oriented, and genuinely excited about building great IT experiences at scale.

This is an in-person role based in New York City. The successful candidate will be expected to work onsite to effectively collaborate with our team and support our office’s IT needs.

What You Will Do:

  • Serve as the first point of contact for in-office and remote staff on all IT-related issues. Troubleshoot and resolve hardware, software, and network problems, ensuring minimal downtime and a great employee experience.
  • Actively use AI tools to triage requests, draft documentation, write scripts, and find solutions faster. We expect AI to be a regular part of how you work, not an occasional experiment.
  • Utilize IT ticketing systems to manage and prioritize help-desk requests, keeping response times tight and communication clear.
  • Help with the creation, management, and support of user accounts and access controls, ensuring employees have the resources and permissions they need to do their jobs.
  • Support in-office AV and conference room technology, including event support for team gatherings and all-hands meetings.
  • Collaborate with other IT team members on projects ranging from new technology rollouts to process improvements.
  • Partner with our Onboarding team to procure equipment, set up accounts, and deliver a smooth experience for new hires.
  • Develop and maintain clear documentation for IT systems, processes, and common issues.
  • Work cross-functionally with teams like Workplace Services and People to support company-wide initiatives and keep the office running well.

About You:

  • Experienced IT Professional: You have at least 5 years of experience in IT support or a related field, with a solid foundation in troubleshooting hardware, software, AV, and network issues. Experience in a startup or tech environment is a plus.
  • AI-Native Worker: You actively use AI tools as a core part of how you work, not just occasionally. You reach for them to move faster, automate repetitive tasks, write scripts, draft docs, and solve problems more effectively.
  • Tech-Savvy Problem Solver: You have a strong understanding of macOS environments, networking, and security, and you’re known for diagnosing and resolving technical issues quickly and thoroughly.
  • Effective Communicator: You can explain complex technical issues in plain language and work collaboratively across teams and departments with ease.
  • Proactive and Adaptable: You thrive in fast-paced environments, take initiative without being asked, and can juggle multiple tasks or priorities without dropping the ball.
  • Service-Oriented: You’re approachable, patient, and genuinely enjoy helping people. You treat every support interaction as an opportunity to leave someone better off than you found them.
  • Detail-Oriented: You manage your work and documentation carefully, keep IT assets organized, and don’t let things fall through the cracks.
  • Security Conscious: You understand the importance of cybersecurity and are proactive about implementing measures to protect company data and systems.
  • Continuous Learner: You stay current on IT trends and best practices and are motivated to grow your skills alongside the team and the company.

Benefits:

  • Great compensation package and stock options.
  • Inclusive Healthcare Package.
  • Learn and Grow - we provide mentorship and send you to events that help you build your network and skills.
  • Flexible Time Off - Flexible vacation policy with a recommended 4-weeks per year, and paid holidays.
  • We will provide you the gear you need to do your role, and a stipend to refresh your tech gear as needed.

The base pay range for this role is $116,000-$174,000. This salary range is an estimate. Actual salary will be based on job related skills and experience.  The total compensation package also includes benefits and equity-based compensation.

Vercel is committed to fostering and empowering an inclusive community within our organization. We do not discriminate on the basis of race, religion, color, gender expression or identity, sexual orientation, national origin, citizenship, age, marital status, veteran status, disability status, or any other characteristic protected by law. Vercel encourages everyone to apply for our available positions, even if they don’t necessarily check every box on the job description.
