About the Role: Effective School Solutions is seeking an organized and highly detail-oriented RFP & Contract Support Specialist to join our District and School Partnership team. This role will provide proposal-development support to the RFP Manager, contract-processing support to the Sales and Operations teams, and additional quote and proposal assistance as needed.

The largest portion of this role will involve supporting the development of requests for proposals, or RFPs, from kickoff through submission. The contract-support portion of the position will focus on quality assurance, coordination, approval routing, and status tracking.

This position reports to the Vice President of Marketing and maintains a dotted-line partnership with the Revenue Operations, Senior Analyst for contract-system standards and quality benchmarks.

Responsibilities and Duties:

RFP and Proposal Support

  • Support the RFP Manager throughout the proposal-development process, from initial kickoff through final submission.

  • Gather required information and coordinate with internal subject-matter experts to support complete and accurate responses.

  • Draft and update standard proposal sections using approved organizational language and resources.

  • Assist with proposal formatting, data gathering, document assembly, proofreading, and final quality review.

  • Maintain the RFP tracking log and proactively flag upcoming deadlines, missing materials, and potential submission risks.

  • Contribute approved content and completed responses to ESS’s internal RFP response database for use in future submissions.

  • Ensure proposals are polished, accurate, responsive to district requirements, and submitted on time.

Contract Support

  • Review and quality-check AI-generated contracts for accuracy and completeness before routing them for approval.

  • Manage contract intake, internal approval routing, and the handoff to signature.

  • Confirm that pricing, service details, terms, and other key information are accurately reflected in contract documents.

  • Flag pricing exceptions, unusual terms, or other potential issues to the Revenue Operations, Senior Analyst.

  • Maintain accurate contract-status tracking and follow up on outstanding items to prevent agreements from stalling in the pipeline.

  • Coordinate with Sales, Operations, Finance, Legal, and other stakeholders throughout the contracting process.

  • Follow established contract-system standards and quality benchmarks in partnership with the Revenue Operations, Senior Analyst.

Additional Growth and Operations Support

  • Assist the Operations and Growth teams with quote and proposal generation as capacity allows.

  • Provide formatting, document coordination, quality-assurance, and administrative support for other growth-related materials.

  • Help maintain organized and accessible proposal, contract, and quote documentation.

  • Adapt to shifting organizational priorities and provide support across functions during high-volume periods.

Qualifications and Skills:

  • One to three years of experience in RFP or grant writing, proposal development, contract support, quote support, or a related area.

  • This is not an entry-level role; candidates should have prior experience supporting complex, deadline-driven documents or processes.

  • Exceptional attention to detail and the ability to serve as a quality-control checkpoint for contracts and proposals.

  • Strong written communication, proofreading, editing, and document-formatting skills.

  • Ability to gather information and coordinate effectively with stakeholders across multiple departments.

  • Strong organizational and time-management skills.

  • Ability to manage competing priorities across RFP work, contract support, and ad hoc Operations requests.

  • Comfortable learning and using new software and AI-assisted tools.

  • Ability to track multiple deadlines and proactively follow up on outstanding information.

  • Demonstrated reliability, adaptability, accountability, and follow-through.

  • Experience working with CRM, proposal-management, contract-management, or document-collaboration platforms is preferred.

We prioritize open communication, sincerity, and authenticity in all our interactions, showing up consistently for one another and for the people we serve.

  • Impact: Impact is not just a goal—it is our reason for being, our “why.” We focus on delivering measurable results and creating lasting change. We are passionate about making a meaningful difference, one student, one family, and one school district at a time.

  • Compassion: We create opportunities for every individual to feel seen, heard, and valued. By cultivating empathy and understanding, we create an environment where everyone feels safe expressing themselves authentically.

Operations Bilingual Lab and Referral Operations Coordinators (French/English) at Maple

Processes and routes lab and referral documentation for a virtual healthcare platform, ensuring timely delivery to clinicians while maintaining privacy and quality standards.

Junior Remote Posted 6 days ago RemoteFirstJobs Product
What this role involves

Build better healthcare together

Maple’s purpose is to meet the world’s healthcare needs. We’re Canada’s leading on-demand healthcare platform, connecting patients with Canadian-licensed doctors, nurse practitioners and specialists. Today, we’re proud that over 8 million patients and 7,000 businesses and government partners have access to same-day, proactive and ongoing care. We enable people to take control of their health and push the boundaries of what’s possible every day.

Bold minds. Big impact. A career at Maple is about making an impact. We empower bold thinking, surround you with an inspiring team and are driven by a motivating purpose. Here, you’ll do work that changes lives—including your own.

The role

We’re looking for our next cohort of Bilingual Lab and Referral Operations Coordinators (French/English) to join our Care Delivery Operations team. This is a role where the details matter—where your precision, reliability and follow-through directly support the clinicians, patients and partners who depend on us every day.

In this role, you’ll own the day-to-day administrative workflows that keep lab and referral processes running smoothly—reviewing, processing and routing documentation, making sure nothing gets missed and everything meets our privacy and quality standards. Key to success will be your technical confidence, sharp organizational instincts, strong problem-solving skills and the ability to work both independently and collaboratively—all while managing multiple priorities without losing accuracy in a fast-paced environment.

Please note this is a fully administrative role—medical or clinical experience isn’t required, though prior admin work in a healthcare setting is an asset. This isn’t a lab-based position; Maple is a virtual platform connecting patients with doctors and nurse practitioners.

Your responsibilities

As a Bilingual Lab and Referral Operations Coordinator (French/English), you will:

  • Take ownership of a high volume of incoming lab and referral documentation—faxes, voicemails and digital records—processing and managing each one in line with Maple’s privacy and security standards

  • Upload, route and track lab results and referral information so clinicians can review and follow up without delay

  • Respond to urgent lab communications and escalate critical results quickly—because getting it right the first time supports patient safety

  • Dig into missing, incomplete or unclear documentation and coordinate with labs, clinics and internal teams to get it resolved

  • Keep patient records accurate and ensure everything lines up between patient information and lab or referral data

  • Support public health reporting and compliance-related documentation as required

  • Work closely with Customer Support and Care Delivery teams to address lab- and referral-related questions from patients and providers

  • Hold the bar high—consistently meeting accuracy, quality and turnaround expectations to keep care delivery running at its best

What success looks like

In your first 90 days, you’ll get a strong handle on Maple’s lab and referral workflows, tools and privacy requirements—and you’ll start contributing right away. That means managing a real volume of administrative tasks independently, hitting your productivity benchmarks and building solid working relationships with your teammates and cross-functional partners.

Over the next 6 to 12 months, you’ll be a trusted, go-to contributor on the team—someone colleagues count on for accuracy, clear communication and consistent follow-through. You’ll consistently meet or exceed quality and productivity expectations, take ownership of more complex issues as they arise,  and your work will be a visible part of what makes Care Delivery Operations run well.

What you bring

  • Two or more years of experience in an administrative or operations role; a background as a Medical Office Assistant or Medical Receptionist, or experience in a healthcare or clinic environment, is an asset

  • Fluency in both French and English—written and verbal—so you can support patients and partners across Canada

  • A detail-oriented mindset with a genuine commitment to accuracy, quality and process adherence

  • Confidence in managing multiple tasks and deadlines independently in a fast-paced, high-volume environment

  • Strong written and verbal communication skills, with a natural ability to collaborate across teams

  • Sharp problem-solving and critical thinking skills when navigating more complex or ambiguous issues

  • Comfort learning and navigating multiple systems and tools; experience with Google Workspace, PDF management tools and Slack is an asset

Play to your strengths. Finding the right fit goes both ways—so this section is yours to complete. When you join, you’ll add the unique strengths you bring that aren’t captured above.

How we’ll support you

We recognize our people’s health is everything. That’s why we take care of them.

  • Maple for you and your family: 24⁄7 access to general practitioners, pediatrics and mental health therapy for you and your family. Care starts on day one

  • Comprehensive health coverage: Medical, dental and life insurance because your peace of mind—and your loved ones—matter most

  • Health spending account: Extra funds to cover the essentials that make a difference, from new glasses to specialized therapy

  • Flex benefits: An annual budget built for your growth and well-being. Use it for professional development, wellness expenses or a one-time boost to your retirement savings. You choose what matters most

  • Health days: Life happens. We provide 10 dedicated days for rest, medical appointments or caregiving, so you can show up at your best

  • Destination days: Work from anywhere. Enjoy the flexibility to work internationally in eligible countries for up to five days per year

  • Group retirement savings plan: We’re here for the long haul. Invest in your future with our group retirement plan

The details

  • Job type: Existing vacancy, full-time

  • Hiring manager: Team Lead, Care Delivery Operations

  • Location: Remote within Canada

We’re committed to the safety and security of our platform. Please note that any offer of employment is subject to a criminal record check (EPIC) and identity verification. Additional checks, including employment or education verification, may be conducted depending on the role’s requirements.

Operations Refrigerant Collection Associate at Tradewater

Coordinates refrigerant collection trips across U.S. regions, managing logistics, scheduling, and pipeline support for climate impact projects.

Junior Hybrid Posted 6 days ago RemoteFirstJobs Product
What this role involves

Tradewater

Refrigerant Collections Associate

Location: Remote, U.S.

A certified B Corp, Tradewater is on a mission to bend the curve on global warming as quickly as possible, directly combating climate change by identifying, collecting, and mitigating the release of non-CO₂ superpollutants—including old refrigerants, excess halons, and methane. These actions reduce potent greenhouse gases, protect the ozone layer, and generate high-integrity carbon credits that fund and expand our mission worldwide. Our projects also create measurable social and economic value for local communities, creating long-lasting benefits that strengthen economies and improve ecosystems endangering public health.

Targeting superpollutants offers one of the fastest, most cost-effective climate strategies available today. These non-CO₂ gases drivenearly half of all human-caused warming, areexponentially more potent than CO₂, and cannot be removed from the atmosphere once released. Cutting halocarbons and methane delivers bigger and faster climate benefits than CO₂ reductions alone and leading models, from MIT to the IPCC, agree that tackling superpollutants is essential to any credible net-zero pathway.

Since 2012, Tradewater has prevented over 10.6 million tons of CO₂ equivalent from releasing into the atmosphere and are on path to prevent at least 30 million tons by 2030.  We are committed to bending the curve on global warming as quickly as possible and delivering trusted, measurable, scalable climate impact today.

Candidates must be based in proximity to a major airport; Kansas City, St. Louis, Nashville, Atlanta, Dallas-Fort Worth, or Chicago preferred. Operations Bilingual Lab and Referral Operations Coordinators (French/English) at Maple

Process and route lab and referral documentation for a virtual healthcare platform, managing workflows, tracking records, and escalating critical results while maintaining privacy standards.

We’re committed to the safety and security of our platform. Please note that any offer of employment is subject to a criminal record check (EPIC) and identity verification. Additional checks, including employment or education verification, may be conducted depending on the role’s requirements.

Title: Independent Contractor – CPT-11476 Compliance Case Management & Quality Control Virtual Assistant/Business Support VA/Entry-Advanced Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

A technology-first company supporting property owners and property management companies is seeking a part-time Virtual Assistant to manage housing-code compliance cases from initial intake through final submission and acceptance.

The VA will work within an established process and existing SOPs to verify AI-generated case information, create and track work orders, review repair evidence, assemble proof-of-repair packages, and monitor cases through closure.

This is not a basic data-entry role. The position requires strong attention to detail, sound judgment when reviewing documents and photos, consistent deadline management, and the ability to flag questionable information before it creates compliance issues.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Case Intake & Work Order Management

  • Review incoming violation notices and verify case information for accuracy
  • Confirm addresses, unit numbers, notice numbers, cited items, and deadlines
  • Create or verify work orders for individual violations
  • Check for existing work orders before creating new records
  • Maintain accurate case information across required systems
  • Prioritize work based on repair deadlines and urgency

Evidence Review & Quality Control

  • Review completed work orders and supporting documentation
  • Confirm that photographs and completion notes clearly support the required repair
  • Ensure evidence is matched to the correct violation
  • Identify weak, missing, or unclear documentation before submission
  • Request corrections or additional evidence when needed
  • Escalate questionable items rather than making assumptions

Submission & Case Closure

  • Assemble proof-of-repair packets according to established templates
  • Submit completed documentation through applicable government portals
  • Select required re-inspection or submission options
  • Log submission activity accurately
  • Keep cases open until final agency acceptance
  • Maintain clear records of outstanding items, deadlines, and next steps

Communication & Process Support

  • Communicate through email and Slack with internal team members and, when appropriate, client contacts
  • Follow established SOPs and operating procedures
  • Maintain clear written notes, captions, and escalation summaries
  • Support additional compliance-processing tasks as assigned

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Previous operations, case management, quality control, claims processing, compliance, or similar process-driven experience required
  • Proficiency in using VLOOKUP in Excel or Google Sheets
  • Strong document review and data-verification skills required
  • Strong written English required
  • Experience working against deadlines and measurable KPIs strongly preferred
  • Comfortable learning multiple web-based platforms
  • Strong attention to detail and process discipline required
  • Customer service or client communication experience preferred
  • Property management, facilities, maintenance coordination, real estate operations, insurance claims, or regulatory compliance experience is a plus but not required
  • Spreadsheet and basic image-handling experience preferred

IDEAL CANDIDATE PROFILE

  • Exceptionally detail-oriented and accurate
  • Strong document-reading and data-verification skills
  • Comfortable reviewing photographs and determining whether evidence is complete
  • Disciplined with repetitive daily workflows
  • Able to prioritize work according to deadlines rather than simply working in order received
  • Comfortable in a metrics-driven environment
  • Able to work independently without constant supervision
  • Technically comfortable with web-based systems
  • Proactive about flagging issues rather than guessing
  • Reliable, motivated, and accountable for deliverables

PERFORMANCE EXPECTATIONS

The VA will be evaluated primarily on:

First-pass acceptance rate of submitted proof-of-repair packets
